AI customer service

AI customer service means artificial intelligence understands, answers or prepares customer requests for your team, for example on WhatsApp, email or live chat. Typical uses are AI agents that answer routine questions from your knowledge base and reply drafts your team reviews. Difficult cases go to a person.

What is AI customer service?

AI customer service is more than an automatic greeting. A language model understands free text, typos included, and replies to the point. That sets it apart from classic customer service automation with fixed rules and menus. The customer does not need to know which keyword the bot expects. They just write what they want.

Where does AI help in customer service?

  • Routine questions around the clock: opening hours, delivery status, returns, prices from your price list.
  • Pre-qualifying: the AI collects the order number, licence plate or preferred date before your team takes over.
  • Reply drafts: for tricky cases, the AI writes a suggestion your team reviews and sends.
  • Several languages: the AI replies in the language the customer writes in.

An example: a bike shop gets the same questions about repair times and spare parts every evening. The AI answers them from the price list and FAQ. In the morning, the inbox only holds the three requests that really need someone from the team.

Chatbot, AI chatbot or AI agent?

A rule-based chatbot follows a menu. An AI chatbot understands free language and writes answers. An AI agent goes further: it uses tools, looks up data, sets tags, starts flows and hands over to your team on purpose. For most small and mid-sized businesses, the agent is the sensible level today, because it does not just answer conversations, it finishes them. The umbrella term for all of this is conversational AI.

What are the limits?

AI can get things wrong. The best protection against invented details is a solid data foundation: with RAG, the AI answers from your own content rather than general world knowledge. Two rules come on top. First, customers should be able to tell they are writing with an AI (AI disclosure). Second, every AI needs a clear path to a person, see human handover and human-in-the-loop.

How do you measure success?

The key metric is the automation rate: the share of conversations the AI resolves without a handover. The widely used containment rate also counts customers who simply give up, so it should never stand alone. First response time and customer satisfaction (CSAT) are worth tracking too.
