Prompt Engineering
Prompt engineering is the deliberate crafting of instructions for an AI so it delivers reliable, on-brand answers. A prompt defines how the AI should behave, its tone, the topics it may cover, how it handles uncertainty. Good prompt engineering turns a general language model into an assistant that fits your business.
What is prompt engineering?
A “prompt” is the instruction you give an AI. Prompt engineering is the craft of phrasing that instruction so the AI does exactly what you want, reliably and repeatably. It is, in a sense, the job description for your digital colleague.
A Large Language Model can in principle hit almost any tone: formal, casual, brief, detailed. Which one it actually hits is decided by the prompt. A good prompt describes the role (“You are the service assistant for a plumbing company”), the tone (“friendly, concise, polite”), the boundaries (“don't quote binding prices without checking”), and the behaviour when uncertain (“if you don't know, hand off to a team member”).
Why is prompt engineering important for SMBs?
The difference between a helpful and an embarrassing AI assistant often comes down to the prompt alone. Three points are decisive:
- Brand voice. The prompt makes sure the AI sounds like your business, not like some generic chatbot.
- Clear boundaries. You define what the AI talks about and what it doesn't. That prevents unwanted statements and an AI hallucination.
- Clean handoff. A good prompt defines when the AI hands off to a human instead of answering itself.
In practice you rarely have to start from scratch. Agent templates provide proven prompts for typical use cases that you only need to adapt to your business. Combined with RAG, the AI then stays factually correct and on the right tone.
An SMB example
A hair salon in Bristol uses a WhatsApp assistant for appointment enquiries. With a weak prompt, the AI sometimes replies casually, sometimes in another language, and promises free slots that don't actually exist.
After fine-tuning, the prompt reads roughly: “You are the front desk of Salon Belle. Answer in a friendly, concise, and polite way. Only name appointments from the connected calendar. For special requests like wedding hairstyles, hand off to the team.” The result: a consistent tone, no false promises, a clear handoff for complex requests. Only the instruction was changed, not the model.
Prompt engineering with SendSeven
SendSeven is a unified messaging platform that combines all channels in one inbox, WhatsApp, Telegram, SMS, Instagram, Messenger, email, live chat, and browser push. You set up the AI assistant through clear instructions and can fall back on prepared agent templates instead of writing every prompt yourself.
The AI draws on your knowledge base (RAG) and checks every answer with a confidence score. Define a boundary in the prompt and the hybrid human-AI handoff respects it, passing the conversation to your team. In line with GDPR, EU-hosted, Made in Germany. Try it free for 14 days.
