CRM (Customer Relationship Management)

A CRM is software that stores all information about your customers and leads in one place — master data, contact history, open tasks, revenue potential. It's the single source of truth for sales, service, and marketing.

What is a CRM?

CRM stands for "Customer Relationship Management." In everyday usage, "CRM" usually refers not to the management approach but to the software system that delivers it.

A CRM is the central database for everything you ought to know about your customers and leads:

  • Master data (name, company, address, contact details)
  • Contact history (every email, call, WhatsApp message)
  • Relationship state (lead, opportunity, customer, former customer)
  • Business potential (open offers, revenue history, lifetime value)
  • Open tasks (calls, demos, follow-ups)
  • Notes, attachments, contracts

CRM vs. ERP vs. helpdesk

ERPInternal business processes (accounting, inventory, HR)Finance, operations

The boundaries blur: many modern CRMs cover helpdesk functions, many messaging platforms carry light CRM features, and ERPs are pulling in more CRM logic. For SMBs the rule is: a CRM is mandatory, the rest is optional and depends on complexity.

What a CRM does for SMBs

  • Single source of truth: Sales, service, and marketing work off the same data.
  • Pipeline view: Which deals are at which stage? Who decides what when?
  • Activity logs: What happened with which contact, when?
  • Forecasting: Expected revenue for the next quarter.
  • Reporting: Conversion rates, cycle times, top performers.
  • Marketing automation: Trigger-based campaigns, lead nurturing.
  • Compliance: Data subject access and deletion requests are feasible.

CRM and messaging

CRM and messaging platform complement each other. The CRM is the truth about the relationship; the messaging platform is the live channel. Connection is typically done via:

  • Connectors: Pre-built integration between CRM and messaging (e.g., SendSeven ↔ HubSpot).
  • Webhooks: CRM events trigger messages in the platform.
  • API: Tailored integration for custom business logic.

Typical sync fields: contact master data, tags, lifecycle stage, last message. Important: the CRM stays authoritative for master data; the messaging platform pushes communication history back.

CRM build-out for SMBs

  1. Data quality before data volume: 200 well-maintained contacts beat 2,000 chaotic ones.
  2. Clear data model: Which fields are mandatory? Which tags exist officially?
  3. Privacy: Every collection needs a legal basis. Take deletion rights seriously.
  4. Adoption: The best CRM is worthless if the sales team works in Excel.
  5. Interfaces: Which other tools (messaging, mail, accounting) must connect?

CRM and contact matching

When connecting to a messaging platform, contact matching plays the key role: for the same person to appear in the CRM (by email) and in the messaging platform (by WhatsApp number) as a single record, both systems must sync over clear identifiers.
