Message Template

Message Templates are pre-approved message formats that businesses can send to customers via WhatsApp outside the 24-hour messaging window. Each template goes through Meta's review process and is categorized as Marketing, Utility, or Authentication.

What are Message Templates?

Message Templates are structured message formats that must be reviewed and approved by Meta before use. They are the only way businesses can proactively contact customers on WhatsApp – that is, outside the 24-hour window after the customer's last message.

A template consists of fixed text with optional variables (e.g., {{1}} for customer name), header elements (text, image, video, or document), footer text, and interactive buttons (call-to-action or quick replies). Meta reviews every template for spam risk, privacy compliance, and user experience – approval typically takes a few hours.

Templates are categorized into three types: Marketing (promotions, newsletters), Utility (transactional updates, service notifications), and Authentication (OTP codes, security verification). Each category has its own rules and pricing structure.

Why are Message Templates Important?

WhatsApp Business API protects users from unwanted messages through the 24-hour messaging window: businesses can only freely message customers within 24 hours of the customer's last message. After that, only approved templates are allowed.

In practice, this means:

  • Proactive communication – Shipping notifications, appointment reminders, invoices
  • Marketing campaigns – Newsletters, offers, product announcements (with opt-in)
  • Security – Two-factor authentication, password reset codes
  • Re-engagement – Reach out to customers after 24 hours (e.g., abandoned cart recovery)

Without templates, these use cases would be impossible. At the same time, the approval requirement ensures high message quality – poorly written or spammy templates get rejected.

Practical Example

An online store creates a Utility template for shipping notifications:

"Great news, {{1}}! Your order #{{2}} has been shipped and will arrive in {{3}} business days. Track it here: {{4}}"

After Meta approval, the store can send this template automatically whenever a package ships – regardless of when the customer last messaged. Variables are dynamically populated: customer name, order number, delivery time, tracking link.

For marketing campaigns (e.g., "20% off today only!"), explicit opt-in is required – customers must actively consent to receiving promotional messages beforehand.
